Price List and Other Reports Show Archived Items -- Need a Way to Exclude Archived Items

Problem
Within the Inventory report group, the Price List currently includes Archived Items by default. This significantly reduces the usefulness of the report when it is used for active inventory management—specifically for identifying items with zero stock that need to be reordered. Because archived items always show zero inventory, their inclusion “muddies the water” and makes it more time-consuming to identify actionable gaps in current inventory.
This issue is not limited to the Price List alone; any report that includes archived items presents the same challenge.
Recommended Solution
Add an Item Status column (Active / Archived) to inventory-related reports.
This approach would:
- Allow users to filter before downloading a report, or
- Enable easy sorting and filtering after download (e.g., in Excel)
Importantly, this preserves flexibility: users who do want to see archived items still can, while users focused on active inventory can quickly exclude them. This is a simple, scalable, and user-controlled solution—a true win-win.
Background / Business Context
As you know, when Pedego created proprietary item codes for commonly available, off-the-shelf products (e.g., tubes, tires, helmets, racks, accessories, etc.), those codes often did not include manufacturer or wholesaler item numbers or UPCs. For dealers who had already been ordering those same items directly from vendors such as QBP or JBI, the SIM process resulted in hundreds of duplicate item records for identical products.
Because Citrus Lime could not match those items during SIM, duplicate SKUs were created. Zach and I previously worked together to resolve this for my Thousand helmets by archiving the redundant Pedego-created item codes.
While that cleanup was successful, the archived items now reappear in inventory reports—most notably the Price List—where they always show zero stock. This makes it unnecessarily difficult to quickly determine which active helmets need to be reordered and introduces avoidable friction into routine inventory workflows.
Why This Matters
Inventory reports are operational tools. Including archived items without a clear way to exclude or filter them:
- Slows down purchasing decisions
- Increases the risk of missed reorders
- Adds unnecessary manual review to otherwise straightforward workflows
Providing an Item Status column—or an equivalent toggle/filter—would materially improve report usability without removing functionality for any user group.
