Citrus-Lime Master - DO NOT CHANGE
I have brought together all posts about better views by status or a planner view. This will be one of our top objectives in the coming workshop overhaul to ensure this feature is 'standout', so it will be easy to:
- See jobs by status (there are separate Canny's to expand the number of job statuses which we will also address. A planner view if you like
- Filter jobs by status
- Move jobs quickly between different statues

Workshop View - have a planner based view

Due to various reasons, we now use the diary more like a planner. where each column is a status rather than a date. this is proving to be a lot quicker for the staff to manage and easier to see what jobs are due. giving the staff less admin work and more time for jobs.
i've attached 3 screenshots of examples (us, 3rd party and MS planner) to show how we're using it, hopefully that exaplins a little further.
having £ totals in the headers would be great, the option to auto email customers when they get moved into certain columns and to show which mechaincs are on holiday.
maybe there could be a diary view and board view options so CL customers can choose their preference?

At present we have to keep switching to the till to view workshop jobs that are complete. This must be visiible as a status in Back Office

Overdue collection

it would be handy to get a report or list that is easy to see if we have a repairs not collected that have been left by customers for example over a month, good for house keeping by prompting staff to contact customer or alerting staff of a bike that has been collected or scraped but is still in the system.

We are going to make it much easier to view things by job status in the coming workshop version 2.0, this will be addressed by that. I've tagged this Canny so we make sure we consider it when creating the views.

This would be super useful, it will help turn around jobs during busy periods.

In our process we have the following Queues for Workshop jobs:
Quotation stages - we require this as ALL jobs must be assessed by a qualified mechanic before the customer is provided with a quote, so must be booked onto the Workshop Diary for this assessment to be done
1 - Triage Q (inspect the bike and prepare quote)
2 - Assess Q (bike has been inspected and non-standard parts have been identified that are not in stock or available from our standard suppliers. Thus an assessment is being made as to where to source the required parts in order to be able to confirm that the repair can be done, the cost and availability of that part and the price that will be used on the customer's quote).
3 - Approval Q (quote is completed and ready and requires confirmation by the customer that they are happy for the work to be done at the price quoted)
4 - Proceed Q(the customer has agreed to the work and the job can now proceed as a repair through the workshop)
5 - Rejected Q (the customer has NOT agreed to the work and job is cancelled. The customer may be collecting their bike to take it elsewhere, or scrapping it, or donating to charity. The workshop doesn't care, but this Quote is now dead and will not proceed as a repair job)
Workshop Repair stages - this is the normal process of pushing a job through the workshop, but there are slight differences due to the type of work to be undertaken.
0 - Quote (this is a NULL indicator to show that the job on the system is being quoted and NOT repaired as yet).
1 - Post Sale Q (this is where a customer has just purchased a bike and it needs to be expedited through the workshop for its Pre-Delivery-Inspection/Safety-Check before the customer takes it home. The customer is most likely still in the shop pacing, having a coffee, etc. so it has the highest priority).
2- Warrranty Q (this is where a customer bike has come back with a warranty issue and must be inspected, repaired and returned to customer at the shop's cost)
3- Parts Q (some of the parts required to complete this job are not in stock. As soon as the mechanic opens the job with a Quote-Proceed flag, they will have checked stock levels and identified any parts that needed to be ordered and placed the order for them. The bike sits in this Queue until all parts are received and the work can be completed)
4 - Repair Q (all parts for this job are in stock now and it is just waiting for an available mechanic in order to proceed)
5 - Ready Q (all work has been completed including post repair Safety Check and is waiting for the customer to arrive, pay for the repair and collect his bike)
6 - Collected Q (customer has collected their job, so can be marked as complete with no required Customer Service follow-up and can be automatically removed from the job queue at the end of the working day).
We would required not just a colour indicator on each job listing to show what stage it is at, but also to have those same indicators on the Workshop Diary List View, with the ability to filter the view to show say all bikes in the Parts Q to be able to chase a supplier on delivery of spares, or to review which bikes in the quote stage need special attention to find the correct parts we do not have in stock, etc.
Bikes are flowed through the steps in numerical sequence, with priority for PostSale, then Warranty, then repair being automatic. It would be useful to be able to index the Jobs list with a priority level so that urgent jobs can be accelerated through the process.

Hi Dave,
The status of the workshop job is visible on the List view in the workshop module.
Does this give you the information you need?
D
Dave
Suzy Weightman: That still wouldn't work; as the list returns everything that has been completed, including every bike which has been collected.
The till function has the correct info when you recall orders; however it can only be accessed at the till, or by logging in from somewhere else and booting other people off midst transaction.
The management of customer orders needs a lot of work to bring it up to where it needs to be.
As an end user I should be able to view all orders that are 'ready for pick up' i.e. the service/build had been completed, or the item ordered has now arrived, and is assigned to this order.
