If workshop module open with job notes on two computers whoever clicks 'save and close' last will overwrite what's there previously, so if workshop job open in shopfront (maybe because customer called to ask about something and shop assistant opens job to make a note or make changes to the job) , the notes then typed in the meantime by mechanic in workshop on another computer disappear. Frustrating.

Hi all,
With the launch of Workshop 2.0 this week, we've made the Internal Notes the primary notes function on a job.
This means the notes are saved immediately and show each note as a separate entry.

We've not had issues with 2 people accessing at the same time yet, but I thought I'd chime in to support what Russ Taylor said. The notes should be seperated.
We used a system before that added a note with a user and time, also let you choose if the customer could see it or not.
This would be handy for what info the customer sees on the bottom off the reciept. Like what work has been completed or might need done soon. but they dont need to see any notes from staff saying random order things!
Also auto save on notes would be a life saver!!!

Hi Suzy. We use the notes section as the primary method of communicating to the workshop what the job is and for the workshop to communicate to the shop staff. So it is 100% important that this appears on the Job and on the print out so that the communication is easy to find. Having to search for it will only result in mistakes and/or things being missed. Is there any way of stopping a workshop job being opened from multiple locations at the same time?

Hi all,
I have a potential work around for this issue - but I wanted to get a better idea for what the Notes are used for...and how important the visibility of these on the main view in the Workshop Module and the POS is.
We have a feature in Cloud POS, which allows you to record individual notes against an order/customer. This is in the Customer Communications popup/section - and will record the cashier who made the note and the date it was made. As the notes are recorded individually, there is no issue with historical notes being overwritten/changed in anyway.
However, to view these notes you would need to open the Customer Communications popup (this is accessible in POS and the Workshop Module)
I've attached a few screenshots to show how this would be opened, and what the historical Notes would look like.
I'd be interested to know everyone's thoughts on this as a potential work around.

We need a way to stop people being able to open the same order/workshop job on multiple tills to avoid overriding notes/items etc. The same goes for the jobs on the workshop module / layaways / quotes. At the moment, if you leave an order open one one till or workshop, then edit it in another, if someone unknowingly closes the order on the first till my saving changes it will save with the old notes overwriting any new notes from the other till.

This has happened to us also, which may explain why there are issues. There doesn't appear to be any form of database locking on this to indicate that someone else has this section open for editing.
Also the Notes section is one large open field, where it is possible to delete notes that someone else has entered, which may be critical to a job. There is also no indication of who added the last note, so is the last comment in the Notes section and update, or just something random.
The Notes section needs to be broken down into multiple sub-notes, where each sub-note is date stamped and carries the initials (as a minimum) of the user that posted it. The original poster should be able to edit their own posts but not those of others in order to protect the audit trail.
